Privacy
What we collect, and why.
The short version: reading the site builds no profile of you and sets no cookies. Like any website, our host sees your IP address to deliver the page, and a request that probes a restricted part of the site is logged. Asking for a quote, using the chat or booking a call gives us what you typed, and we use it to reply. No ad tracking, no lists.
Section 01Who we are
This website, www.arterysystems.com, is run by Artery Systems LLC, a Virginia limited liability company. Questions about this policy go to contact@arterysystems.com or (443) 494-6667.
This page covers the website only. Any system we build for a client handles that client’s customers’ data under the written agreement for that work, not under this page.
Section 02What we collect
Reading the site. We keep no visitor profiles and ask for no account. Loading a page sends the request any web server sees, and adds one anonymous page view to our count (section 06).
The callback form. The callback form asks for your name and mobile number and, if you choose, your business name, your type of business and a short line on what is slowing you down. We save it as an inquiry, with the page you sent it from, your browser’s user-agent string and a salted, one-way hash of your IP address, and we email it to ourselves so we can call or text you about your request, as the form says.
The AI checkup. The checkup asks a few multiple-choice questions about your calls, replies, booking, admin and how people find you, then your name, your business name, your type of business, and an email address or a mobile number. We save your answers and the results shown to you as an inquiry, with the page you came from, your browser’s user-agent string and a salted, one-way hash of your IP address, and we email them to ourselves so we can call, text or email you about your results.
The website chat. The chat is an AI assistant. We store the messages you send and the replies, the page the chat was opened on, and a salted hash of your IP address. If you give the chat your details so we can call you back, we save them as an inquiry: your name, your business name, your phone number, your email address if you gave one, the type of business and the service you asked about, and a short note on what you need. With it we store your browser’s user-agent string and a salted, one-way hash of your IP address (the hash, not the address), and the conversation so far, the assistant’s replies included, is emailed to us with them. A conversation the assistant judges abusive is marked as such. Section 05 has more.
Booking a call. The calendar is provided by Cal.com. What you enter there goes to Cal.com under its own privacy policy. Cal.com tells us about the booking, and we receive its details by email. If you book through the chat instead, we pass the name, business name, email, and phone number you gave to Cal.com to make the booking, with a reference to the chat it came from.
Limits and security records. The chat, the callback form and the checkup count requests against a salted hash of your IP address, so that they cannot be flooded. Bookings made through the chat are also counted against salted hashes of the phone number and email address given. Separately, a request that probes or tries to sign in to a restricted part of the site is recorded in a security log. That record holds the IP address, the approximate location it maps to, the browser details sent with the request, and any fields that were submitted with it. A probe also counts against that connection’s use of the chat.
What we do not collect. The site does not ask your browser for your microphone, camera, or precise location. The demo call is a recording made in advance; your voice is never recorded. We take no payments through the site and ask for no card details.
Section 03How we use it
We use what you send us for these purposes:
- to reply to you and set up the call you asked for;
- to call, text or email you back about the callback or checkup you sent;
- to scope and quote the work you asked about;
- to answer your questions in the chat, and to review chats for follow-up and accuracy;
- to keep the chat and the site from being abused.
We do not sell it, rent it, add it to a marketing list, or share it with advertisers. If you become a client, the details you gave here become part of that client record.
Phone numbers and texts. We do not share mobile phone numbers, or any consent to receive text messages, with third parties or affiliates for their marketing. If you ask for a quote, we may call or text you about that quote; reply STOP to any text and we stop texting you. This site does not sign you up for marketing texts.
Section 04Who processes it
We use a small number of providers to run the site. We use each one only to provide its service to us, and each handles what it receives under its own terms.
- Vercel hosts the site and counts page views. As the host, it sees each request, including the IP address, and keeps its own operating logs.
- Supabase hosts our database: inquiries (callback requests and checkup answers included), chat conversations, and the security and limit records described above.
- Resend delivers the email that tells us about a callback request, a checkup, a chat callback request or a booking. That email contains what you sent and, for a chat, the conversation.
- Our business email provider holds those emails in our mailbox, along with anything you email us directly.
- OpenAI generates the chat’s replies. If the site is not connected to OpenAI, Anthropic generates them instead. Your chat messages are sent to whichever of the two is in use, for that purpose (section 05).
- Cal.com runs the booking calendar and holds what you enter there.
- Cloudflare runs Turnstile, the check against automated abuse on the chat, the callback form and the checkup, which loads only when you start a chat or use one of the forms.
We may also disclose information if the law requires it, or to protect the site and the people who use it.
Section 05The AI chat
The chat on this site is an AI assistant, not a person, and it says so when it opens. It can make mistakes.
Each message you send, with the recent messages of the same conversation, goes to an AI model provider so it can write the reply: OpenAI, or Anthropic if the site is not connected to OpenAI. We do not send your IP address to either. When the provider is OpenAI, we also send a salted hash that stands in for your connection, which OpenAI uses to detect abuse, and we ask OpenAI not to store the exchange as a saved conversation. Each provider handles what it receives under its own API terms.
Chats are saved on our side so we can follow up and check the answers. When the chat takes your details for a callback or a booking, the conversation is also emailed to us (section 07 says how long each copy is kept). Please do not type anything sensitive into the chat: no passwords, card or bank numbers, health details, or government ID numbers.
Section 07How long we keep it
- Inquiries, the callback requests, the checkup answers and the callback details saved from the chat (and any sent through the quote or contact forms this site used to have), are deleted automatically about one year after they arrive.
- Chat conversations are deleted automatically after about 90 days. That is the copy in our database. A conversation that was emailed to us with a callback request or a booking also sits in our mailbox, which is not deleted automatically (see below).
- Security log records are deleted automatically after about 90 days.
- Request counts used for limits hold salted hashes, not the details themselves. Their windows run up to about 30 days. A count is removed once it is more than two windows old and a limit next runs; it has no fixed deletion date.
- Booking references, kept so one booking is not announced to us twice, are deleted after about 30 days.
- Emails we receive about an inquiry, a quote request, a chat callback, or a booking, including any chat conversation they carry, and the bookings in our calendar, have no automatic deletion. We keep them until they are no longer needed for the purpose you sent them, or until you ask us to delete them.
If you ask us to delete something sooner, we do, unless we are in the middle of work for you or have to keep it for a legal reason. What Vercel, Supabase, Resend, the chat’s model provider, our email provider, and Cal.com keep in their own systems, backups included, follows their own policies.
Section 08How we protect it
The site is served over an encrypted connection. The database is reached only by our own server, and administrative access is restricted. The chat and the forms have limits and checks against automated abuse. One of those checks is Cloudflare Turnstile, which runs in your browser when you start a chat or use a form; Cloudflare’s Turnstile Privacy Addendum covers what it collects.
No system is perfectly secure, and we cannot promise that ours is. If you think something you sent us has been exposed, tell us at contact@arterysystems.com.
Section 09Your choices and rights
Email contact@arterysystems.com or call (443) 494-6667 to see what we hold about you, correct it, or have it deleted. We honor these requests from anyone, wherever you live, and we may ask a question or two to confirm the request is yours. We will not treat you differently for asking.
Some US states give their residents specific privacy rights. Whether or not those laws apply to a business of our size, the answer is the same: you can ask for access, correction, or deletion, and we do not sell personal information or share it for cross-context behavioral advertising.
If you would rather not share anything, you can still read every page of the site. The callback form, the AI checkup, the chat and the calendar are the only places that ask.
Section 10Children and visitors outside the US
The site is meant for business owners. It is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has sent us information, tell us and we will delete it.
We are based in the United States and work with businesses anywhere. If you visit from another country, what you send us is processed in the United States and wherever our providers operate, where privacy laws may differ from yours.
Section 11Changes and contact
When this page changes, the date at the top changes with it. If we make a material change to what we collect or why, we will update this page and its date before the change takes effect.
Questions: contact@arterysystems.com or (443) 494-6667. Our terms for using this site are on the terms page.
