What a missed call costs your business
You do not need an industry average; your own numbers are better. Three of them give you the cost:
- Missed calls
- How many calls rang out or went to voicemail last month. Your phone’s call log or your carrier’s online portal shows them.
- Share that were jobs
- Of those, how many were customers who wanted work done, not sales calls or wrong numbers.
- Average job
- What a typical first job is worth to you, and what a customer is worth over a year if they come back.
Multiply the missed calls by the share that were jobs, then by the average job. Run it once with last month’s numbers, then compare it with what each fix below costs.
Why calls get missed
- You or your crew are on a job, on a roof or under a sink
- The front desk is with a customer or on another line
- It is after hours, a weekend or a holiday
- The call comes at lunch or in the morning rush
- Nobody is sure whose turn it is to call back
Most of these are not about effort. They are about one phone and more calls than hands. The fix is to make sure something answers, or at least replies, every time.
Five ways to stop missing calls
- Faster callbacks
- Free. Record a greeting that says when you will call back, and keep to it: every message returned within the hour during business hours. It helps when callers are patient, and does little after hours.
- Missed-call text-back
- A text goes out the moment a call rings out: sorry we missed you, reply with what you need, or book here. It keeps the caller from moving on while you finish the job. Quoted after a free call.
- A receptionist
- A person on the phone during set hours. The national median wage for receptionists was $18.27 an hour in May 2025 (U.S. Bureau of Labor Statistics), before payroll costs. One person answers one call at a time, during their shift.
- Answering service
- A call center answers in your name, priced by the minute or by the call. Published plans from the best-known services start around $250 to $300 a month.
- AI receptionist
- Answers calls on your number at any hour, books from your calendar and texts you a summary. Ours is from $750 setup and $249 a month.

Which fix fits your business
- On job sites all day: a text-back, and an AI receptionist for the calls that come in while you work
- An office with a front desk: the AI receptionist picks up when the desk is busy or closed, and your team takes the rest
- Every call needs a person: a receptionist or a live service during hours, and the AI receptionist after hours
Whatever you choose, test it. Call your own number after hours and during a busy hour, and see what a customer hears. We set up the receptionist for dentists, HVAC companies, plumbers, salons, law firms and auto repair shops.
Stop the calls you miss before they happen
Some missed calls start online. If your Google profile shows the wrong hours, people call when you are closed. If your website hides the phone number, people call the business whose number they can tap. Fix both: get your business on Google Maps with the right hours, and keep a call button on every page of your site.
We are based in Herndon, Northern Virginia and work with businesses in Reston, Fairfax, Arlington, Alexandria, Loudoun and DC, and remotely anywhere.
